How will you handle Covid-19 vaccine paperwork?

Covid-19 vaccines bring new paperwork challenges to LTC pharmacies. Do you have a plan for handling consent or declination forms, tracking dosages, or administration reporting?

Our pharmacy customers are finding our secure forms to be a key tool for Covid-19 vaccine paperwork management.

Many of our pharmacy customers LTC pharmacies have asked us to design their COVID-19 forms into a secure form that includes information such as:

  • Recipient information including health insurance and prescription insurance
  • First or second dose
  • EUA or VIS statement acceptance
  • Legally binding signatures with embedded dates and times

One of the most popular requests is a vaccine administration record form that includes screening questions and dosage tracking, that makes tracking fast, easy, and paperless.

For DocuTrack users, a PDF of completed forms appears right in your on-screen DocuTrack interface. A permanent, HIPAA-secure PDF is also kept in your Mediprocity account.

A LOT of new paperwork is headed your way as the Covid-19 vaccine rolls out. Get ready today – contact us today for a demo or to get started!

Thoughtful technology integrations for staff and residents

McKnight’s Senior Living recently reported on the characteristics and ideals of an “optimal senior living community,” identified by more than 85 independent living, assisted living and memory care leaders who joined together recently at the International Council on Active Aging Forum.

#3 on their list of future trends caught our eye:

“Integrate technology through all operations. Future demand means technology-enabled spaces for both staff and residents. Internet connections, software and hardware need to be available both indoors and outdoors. Wearable technologies, including activity trackers and heart rate monitors, and rooms outfitted with smart utilities, remote monitoring, voice-activated systems and in-house channels embedded in living and service areas, are important to future residents.”

We support this ideal strongly. We know that for long-term care, communications are also a core part of a facility-wide technology strategy. In order to meet those challenges, we have tailored our apps to the unique needs of long-term care providers and facilities.

Our Secure Messaging keeps teams, remote, and on-site staff connected with each other, providers, and the pharmacy with the ease of texting, reducing confusion, communication lags, and paperwork.

The ability to fill out forms from anywhere with Secure Forms eliminates the cumbersome back and forth of printed paperwork and faxing, plus no-touch, digital paperwork can play a central role in infection control as well, letting providers, family members, and applicants complete the necessary information without being on-site.

For the ease of residents, Secure Forms can also be completed bedside so residents do not have to venture out of the comfort of their rooms.

Our SureSent and SureCount (coming soon!) orders apps simplify another critical area of SNF and hospice care – Schedule II narcotics management. Together, these two apps enable emergent Schedule II narcotics signed orders to get to the pharmacy asap.

The pharmacy also has the ability to view the on-hand counts at a facility to anticipate well ahead of time when a patient is running low on important narcotic medications, so they can dispatch a delivery ahead of the need for an emergency call or using the on-site E-Kit.

Don’t overlook secure communications as part of your holistic approach to patient safety, well-being, and quality of care. Contact us today for more information.

Blog series: Most Common HIPAA Myths & Misinterpretations

HIPAA Myth #1: Our company’s “no texting” rule keeps us compliant

There are lots of myths about HIPAA compliance and texting what the best practices are – we field questions about it every day.

Close up of thumb typing on a smart phoneWe are your partners in communications and compliance. We are here to help you understand, interpret, and follow the rules. In this blog series on common HIPAA myths, we tackle common misconceptions about compliance. Today we take on one of the most common gray areas – texting PHI (private health information) in long-term care.

One of the most common misconceptions we hear is that a “no texting” rule ensures that your company is communicating compliantly.

If you think your employees aren’t texting because you have a “no texting” rule, you should take a closer look, because it’s incredibly difficult to enforce and isn’t HIPAA-compliant.  If you think your no texting rule is protecting you, think again.

Under HIPAA, you are liable for what your employees text, even if it’s on their own device, and even if your company has a no-texting rule.

Further, if any of your managers are aware of non-compliant texting by employees but do not document disciplinary action for the violation (turn a blind eye, or let them slide “just this one time”), HIPAA considers that willful neglect (defined as conscious or intentional failure to perform a duty due to negligence) that subjects you to the highest fines.

Instead of taking a reactionary approach, or worrying every time you see a phone in an employee’s hand, we suggest embracing the technology that’s at everyone’s fingertips, and leading by example by providing staff with an easy to use, appealing alternative – Mediprocity’s Secure Messaging.

Mediprocity is by far the best company I have worked with as far as customer service and willingness to try new things.
We need more of you out there to help the medical tech community to come together which will ultimately save this country money through coordination of care.
I really appreciate what you do.
Ryan Schulte – Director of Operations, Metropolitan Neuro Behavioral Institute

In addition to peace of mind about compliance, our secure messaging, orders, and forms for long-term care can ensure critically needed medication reaches facility residents quickly, clarify questions, and reduce reliance on slow and outdated voicemail and faxing.

Here at Mediprocity, we know long-term care. Our founders come from family backgrounds in long-term care, and have been focused on the LTC industry, listening to our customers’ unique needs and regulatory requirements, and providing industry-leading customer service for more than a decade.
